During the journey: work safely and report exceptions

Safety comes before a delivery deadline or software task. Follow applicable road rules, training and the vehicle’s operating requirements. If a breakdown or incident occurs, prioritise people and immediate hazards, use the appropriate emergency services and notify the responsible company contact when safe. Do not undertake repairs, cargo handling or roadside actions beyond your training and authority. Keep factual evidence, but never collect it in a way that puts you or others at risk.

Your learning goals

What you’ll learn

  • Make updates only when safe.
  • Escalate breakdowns and incidents through the right contacts.
  • Preserve facts without making unsupported promises.

Useful terms

Exception
An event that changes the planned safe or reliable journey.
Escalation
Notifying the responsible person or service for a decision or response.

Step-by-step operating routine

  1. Use safe communication points

Read instructions and update progress only while safely stopped. If timing changes, contact dispatch through the agreed safe routine. Do not chase notifications or make up status updates to meet a dashboard target.

    Record or confirm
    • Safe stopping point
    • Contact routine
    • Update time
  2. Report a meaningful delay

State the job, location evidence, observed reason and what remains unknown. Avoid promising a precise arrival when you cannot support it. Let dispatch coordinate customer updates and revised receiving plans.

    Record or confirm
    • Job
    • Last known location
    • Reason
    • Uncertainty
  3. Respond to a breakdown safely

Follow training, vehicle guidance and local conditions. Notify dispatch and qualified assistance. Record observable symptoms when safe. Do not continue with a known unsafe condition simply because replacement capacity is costly.

    Record or confirm
    • Vehicle
    • Observed issue
    • Safe status
    • Assistance contact
  4. Escalate an incident

Prioritise emergency response and comply with applicable duties. Contact the company’s responsible person. Retain factual times, references and safe evidence; do not admit liability or promise reimbursement outside your authority.

    Record or confirm
    • Incident time
    • Emergency / company contact
    • Reference
    • Facts
  5. Confirm changed instructions

If a vehicle, route or receiving plan changes, obtain the authorised brief. A goods transfer needs an actual count and condition record. Required external document changes must be handled by the responsible operator.

    Record or confirm
    • New instruction
    • Approver
    • Handoff count
    • Document action
Worked example

A breakdown with a replacement movement

A driver reports a breakdown from a safe position. Dispatch arranges qualified assistance and approved replacement capacity. When goods transfer, responsible staff record count, condition and receiving custodian. The original journey is retained; the driver does not simply change the truck number and assume all documents are updated.

  • Prioritise safety and qualified assistance.
  • Keep factual event times.
  • Count goods at transfer.

Exceptions and mistakes to avoid

  • Do not stop in a dangerous place merely to take a photo.
  • Never treat a delay alert as a reason to exceed safe or lawful driving limits.
  • GPS availability does not remove the need for an emergency escalation plan.

Check your understanding

Try answering first, then open the explanation. Use the worksheet and source records to practise the task.

Should a driver interact with the app while moving?

No. Use agreed safe stopping and communication routines.

Who updates statutory movement details after a vehicle change?

The authorised responsible operator under the applicable process; an internal edit alone is not proof of completion.
