What you’ll learn
- Review payroll totals and source inputs.
- Separate approval, payment initiation and success.
- Handle employee disputes with traceable corrections.
Useful terms
- Payroll cutoff
- The defined point for including reviewed inputs in a run.
- Net pay
- The result of approved earnings and applicable reviewed deductions.
Step-by-step operating routine
Freeze and validate inputs
Define the pay period and cutoff, then review duty, attendance, allowances and approved changes. Identify missing inputs and duplicates. Keep unresolved items visible rather than silently substituting zero.
Record or confirm- Pay period
- Cutoff
- Input sources
- Exceptions
Apply reviewed statutory and policy treatment
Confirm current coverage, wage treatment, contributions and deductions with the qualified reviewer. Preserve effective rules. This chapter does not prescribe universal PF, ESI or tax rates for every workforce.
Record or confirm- Applicable rules
- Effective date
- Qualified review
- Calculation evidence
Reconcile the run
Compare gross inputs, deductions, recoveries and net amounts. Check prior-period changes and source totals. Have the authorised reviewer inspect unusual movements before approval.
Record or confirm- Gross
- Deductions
- Recoveries
- Net
- Variance
Approve and verify payment
Separate preparer and approver where practicable. Verify payee details and payment references. A pending bank result should stay pending, with lookup and reconciliation before retry.
Record or confirm- Approver
- Payee check
- Payment reference
- Bank result
Explain and correct fairly
Provide an appropriate pay explanation through a private channel. Record disputes, evidence and authorised adjustments. Do not overwrite a released run to conceal a correction or treat AI interpretation as a final employee decision.
Record or confirm- Dispute
- Evidence
- Adjustment
- Reviewer
- Communication
Payment pending after release
A reviewed run is approved, but a bank payment remains pending. Finance checks its status and retains the reference instead of issuing another identical payment. An employee’s disputed allowance is investigated separately and, if approved, corrected through a traceable adjustment rather than rewriting the released history.
- Keep approval and payment distinct.
- Reconcile before retrying.
- Preserve correction evidence.
Exceptions and mistakes to avoid
- Do not publish employee pay details in public dashboards or AI responses outside permitted scope.
- A general course example is not a statutory calculation policy.
- Disputed amounts require fair review and clear communication.
Payroll release checklist
Keep the completed worksheet private and retain the source references supporting each decision.

Check your understanding
Try answering first, then open the explanation. Use the worksheet and source records to practise the task.
Is an approved payroll run proof of payment?
No. Confirm the actual payment result and allocation.
How should a released payroll error be corrected?
Through an authorised traceable adjustment retaining the original run and explanation.
Put it to work with HiVAM
Use these connections to explore the relevant product workflows. Confirm access in your deployed release; API capabilities require an integration or an available interface.
Trip duty, allowances and workforce payroll
Inspect the published payroll input API and confirm release and payment processes in your deployment.
Partner settlement and balanced journals
Use traceable financial entries and reconciliation under the approved accounting setup.
Official references and current requirements
These lessons explain operating discipline for Indian road goods transport. Confirm the exact legal, tax, employment or safety requirement with the current authority and a qualified adviser. Reference review is not legal certification.
- EPFO: employer information booklet
Reference for employer records and contributions. Confirm current coverage, wage treatment and filing obligations.
- ESIC: branch office manual
Reference for registration and records. Coverage and current requirements need establishment-specific review.
- CBIC: tax information portal
Use current notifications and effective dates with a qualified tax adviser; older FAQs are not a complete current tax policy.
