What you’ll learn
- Separate attendance, duty and allowance eligibility.
- Apply effective approved policies.
- Reconcile advances and corrections transparently.
Useful terms
- Duty evidence
- A record supporting the work or time actually performed.
- Allowance
- A payment under an approved policy and eligibility rule.
Step-by-step operating routine
Define the workforce and policy
Record the worker arrangement, applicable payroll rules and qualified statutory review. State allowance units, triggers, limits and effective dates. Avoid treating every driver as the same employment category.
Record or confirm- Worker arrangement
- Policy
- Effective date
- Eligibility
Capture actual duty
Link assignment and actual duty with dates, times and relevant source records. Resolve overlapping or missing entries. A planned trip is not evidence that the person performed the entire duty.
Record or confirm- Employee
- Duty period
- Trip reference
- Actual evidence
Review allowance eligibility
Apply the approved policy to actual evidence. Record exceptions and approver decisions. Keep meals, travel, overtime or other categories distinct where required rather than posting an unexplained lump sum.
Record or confirm- Allowance type
- Quantity / unit
- Rate
- Approval
Record advances and recovery
Tie each employee advance to its acknowledgement and approved recovery arrangement. Show recovered and outstanding amounts. Do not confuse a carrier hire advance with an employee payroll advance.
Record or confirm- Advance
- Payment evidence
- Recovery policy
- Outstanding
Correct and hand over payroll inputs
Review duplicate duty, changed trips and late evidence before the payroll cutoff. Preserve corrections and source references. A rerun must not produce a second allowance for the same approved event.
Record or confirm- Input batch
- Source reference
- Correction
- Payroll reviewer
An allowance with approved evidence
An illustrative policy pays ₹300 per eligible duty day. A driver has four reviewed eligible days, so the allowance input is ₹1,200. An employee advance recovery is shown separately under its approved arrangement. A fifth planned day does not qualify until actual duty and the policy conditions are established.
- Use eligible actual duty.
- Keep allowance and advance recovery separate.
- Prevent duplicate input on rerun.
Exceptions and mistakes to avoid
- Do not invent statutory rates or wage eligibility from a generic example.
- Corrections after cutoff need an authorised adjustment process.
- An overtime incentive must not encourage unsafe driving or unlawful duty.
