Use tracking without mistaking signals for business events

Tracking is an observation layer. It can support dispatch and customer communication, but it does not replace quantity acceptance, POD or financial approval. Display the observation time, source and freshness, and distinguish inferred progress from confirmed events. A beautiful progress indicator should make uncertainty understandable. Device installation, replacement and mixed tracker billing also need their own dated records so operations and subscription charges describe the same resource history.

Your learning goals

What you’ll learn

  • Distinguish live, stale and inferred location.
  • Use geofence events as supporting evidence.
  • Keep tracker resource history and billing aligned.

Useful terms

Freshness
How recent the relevant observation is under a stated policy.
Geofence
A defined geographic area used to classify location observations.

Step-by-step operating routine

  1. Associate the correct device and resource

Record the tracker provider, device, vehicle and effective association period. Keep replacement history. Validate that the incoming identifier maps to the intended organisation and vehicle.

    Record or confirm
    • Provider
    • Device ID
    • Vehicle
    • Effective period
  2. Check observation quality

Show source timestamp, received timestamp and expected update cadence. Handle missing or implausible points visibly. A last known position should remain labelled last known, even if the map keeps animating.

    Record or confirm
    • Observed time
    • Received time
    • Freshness
    • Quality
  3. Interpret journey progress honestly

Explain whether progress uses distance, route estimate or confirmed stops. Qualify ETA and incomplete coverage. Do not show a precise percentage when the required route or evidence is unavailable.

    Record or confirm
    • Progress basis
    • Route assumption
    • ETA basis
    • Unknown state
  4. Review geofence and exception rules

Use relevant zones and bounded alerts. Deduplicate repeated entries and assign meaningful exceptions. A zone event can suggest arrival, but receipt, detention or delivery still need their defined evidence and approval.

    Record or confirm
    • Zone
    • Trigger
    • Duplicate policy
    • Exception owner
  5. Reconcile changes and charges

When activating, replacing or changing tracker category, keep dated associations and usage periods. Confirm whether hardware, installation or deposit charges are separate under the chosen arrangement.

    Record or confirm
    • Change date
    • Old / new device
    • Category
    • Usage period
    • Charges
Worked example

A thoughtful progress tile

A trip tile shows origin, destination and a truck position based on the latest valid route observation. If that observation becomes stale, the tile keeps its last known position and displays the age instead of implying live motion. Delivery status changes only after the actual acceptance process.

  • Label progress basis and freshness.
  • Keep delivery proof independent.
  • Preserve device changes with effective dates.

Exceptions and mistakes to avoid

  • Do not expose a driver’s unrelated historical location to customers.
  • GPS absence can reflect coverage or device issues; it is not proof of misconduct.
  • Mixed tracker pricing must use the actual category and period, not one headline rate for every asset.
Put it into practice

Check your understanding

Try answering first, then open the explanation. Use the worksheet and source records to practise the task.

Does a geofence entry prove unloading?

No. It is a location observation; operational acceptance needs separate evidence.

What should a progress tile do with stale data?

Preserve and label the last known evidence or unknown state instead of pretending to show live progress.
