Win work you can deliver profitably · Chapter 1 of 4

Understand customers and write a deliverable service agreement

The person asking for a truck may not be the payer or receiver. A useful customer conversation uncovers all of these roles and the problem the buyer wants solved. A manufacturer may value reliable pickup more than the lowest rate; a distributor may need clear carton shortages and collections. Record the operating facts and agree a service that your network can deliver. Relationship knowledge belongs in shared records, not only in one salesperson’s phone.

Your learning goals

What you’ll learn

  • Capture shipper, receiver and payer roles.
  • Turn a vague request into measurable service terms.
  • Make sales-to-dispatch handoffs usable.

Useful terms

Consignor
The sender of goods.
Consignee
The intended receiver.
Service level
An agreed service promise and how it is measured.

Step-by-step operating routine

  1. Identify the buying and operating contacts

Record the legal customer, booking contact, origin coordinator, receiver and payer. Verify addresses and billing details. Keep multiple contacts under the same party identity rather than creating a new customer for each phone number.

    Record or confirm
    • Customer
    • Booking contact
    • Pickup contact
    • Receiver
    • Payer
  2. Describe the goods and handling

Ask quantity, weight, dimensions, packing, value and restrictions. Clarify who loads and unloads and what equipment is needed. Unknown dimensions should become a quote assumption requiring confirmation, not an invented value.

    Record or confirm
    • Goods
    • Packing
    • Quantity / unit
    • Dimensions
    • Handling owner
  3. Define timing and evidence

Agree pickup and receiving windows, departure pattern, delivery evidence and notification contacts. Specify whether delivery means physical acceptance or completion of a document process. Record dependency on customer readiness.

    Record or confirm
    • Pickup window
    • Delivery target
    • Receiver hours
    • POD requirement
  4. Agree exception and commercial terms

Clarify failed attempts, waiting, cancellation, shortages, claims, payment terms and approvals for extra charges. Use legally reviewed terms where appropriate. A verbal assurance should not silently replace the approved contract.

    Record or confirm
    • Exceptions
    • Charge approvals
    • Payment terms
    • Dispute route
  5. Hand the agreement to operations

Before the first booking, review one job with dispatch and finance. Confirm that the route, capacity, payer and required evidence can be represented. Keep the accepted version and effective date available during execution.

    Record or confirm
    • Accepted version
    • Effective date
    • Operations owner
    • Finance reviewer
Worked example

Three roles, one booking

A manufacturer requests freight, its distributor receives the goods and a central procurement entity pays monthly. The booking links all three roles and the agreed contract. The driver receives delivery instructions, while finance receives the payer and billing terms. The receiver’s phone number does not become the invoice customer by accident.

  • Validate the actual payer.
  • Share site and evidence requirements with dispatch.
  • Keep the accepted agreement version.

Exceptions and mistakes to avoid

  • Do not promise special handling before capacity and competence are confirmed.
  • Do not send drivers full customer financial records when they need only delivery instructions.
  • An unconfirmed receiving window should remain a visible risk.

Check your understanding

Try answering first, then open the explanation. Use the worksheet and source records to practise the task.

Is the consignee always the payer?

No. Record each role explicitly under the accepted commercial agreement.

How should an unknown dimension be handled?

Mark it as unknown, explain the pricing or capacity assumption and require confirmation before the affected commitment.
