Choose transport KPIs that lead to useful decisions

A dashboard should help you decide what to do next. Begin with a small set of metrics tied to service promises, goods, cash and reliability. Every metric needs a definition, time window, unit and owner. Completed trips, delivered packages and approved POD measure different things. A large total can hide the next urgent exception, so pair summaries with source drill-down and accountable action queues. Avoid vanity measures that reward volume while service or cash deteriorates.

Your learning goals

What you’ll learn

  • Define each metric and denominator.
  • Connect totals to source records and next actions.
  • Compare periods without changing the basis silently.

Useful terms

KPI
A defined indicator used to review performance or risk.
Drill-down
Opening the source detail behind a summary measure.

Step-by-step operating routine

  1. Start from business decisions

List decisions such as adding capacity, investigating shortages, collecting overdue money or fixing POD delays. Choose a metric that helps each decision. Remove measures nobody owns or uses.

    Record or confirm
    • Decision
    • Metric
    • Owner
    • Review frequency
  2. Define the calculation

State event, numerator, denominator, unit, date basis and exclusions. Distinguish planned versus actual and estimates versus approved results. Document how partial delivery and returns affect the measure.

    Record or confirm
    • Formula
    • Unit
    • Date basis
    • Exclusions
    • Partial-state rule
  3. Verify a representative sample

Independently count a small source set and compare the dashboard and export. Check facility, timezone and permissions. Investigate differences before relying on the metric in a commercial decision.

    Record or confirm
    • Sample records
    • Filter
    • Expected total
    • Observed total
  4. Add actionable exception detail

For a shortage, ageing or missing-POD count, show affected records, owner and next action. Do not make staff search another module to discover which records produced a warning.

    Record or confirm
    • Affected IDs
    • Owner
    • Due time
    • Source links
  5. Review trends with context

Compare consistent periods and note changes in customer mix, lanes, volume and policy. Use actual margin separately from a preview estimate. Make decisions and record their evidence rather than celebrating a colour change alone.

    Record or confirm
    • Comparison period
    • Context
    • Decision
    • Evidence
Worked example

Two completion measures

A company finishes ten trips, but three consignments still have held packages and five PODs await review. Reporting “ten trips completed” is accurate only for the movement measure. A delivery or billing dashboard must expose the unresolved quantities and evidence separately instead of presenting universal completion.

  • Define the event being counted.
  • Show unresolved source records.
  • Keep exports on the same filter basis.

Exceptions and mistakes to avoid

  • An empty denominator should show unavailable, not an invented percentage.
  • A staff member’s report must not include restricted facilities or fields.
  • Do not compare estimated and approved margin as if they were identical.

Check your understanding

Try answering first, then open the explanation. Use the worksheet and source records to practise the task.

Why state the date basis?

Booking, departure, delivery, invoice and receipt dates can place the same job in different periods.

What should an exception count link to?

The permitted source records with owners and next actions, using the same filters as the count.
